Privacy Policy  

For the purpose of this privacy policy all references to “we”, “us”, “our” and “the assessor” refer to Claire Gibbons trading as Unlocking Dyslexia, and all references to “you”, “your”, “the client” and “the parent and guardian” refer to the client booking and paying for a service to be provided. 


Your confidence in the way Unlocking Dyslexia looks after your data is really important to us. We have prepared this Privacy Policy to explain the types of personal data we may collect about you and your child/young person and how we store, handle and keep that data safe. It also sets out your rights, how to contact us and (if you need to) how to complain in the event you have a problem or complaint. 


Information about Unlocking Dyslexia 

Unlocking Dyslexia is the company name of the sole trader business of Claire Gibbons, based in Bath.  Our business address is 63 Napier Road, Weston Bath.  Claire is an independent Specialist Assessor and Teacher who is qualified to assess and diagnose dyslexia and plan and deliver specialist tuition for those with dyslexia or other specific learning difficulties. She is AMBDA qualified, an associate membership with the British Dyslexia Association and hold a current Assessment Practice Certificate (APC) with PATOSS (Professional Association of Teachers of Students with Specific learning difficulties).   We offer a range of services including tutoring, diagnostic assessments and consultancy.  


When Unlocking Dyslexia collects or processes your personal data, we are regulated by the UK General Data Protection Regulations (GDPR). For the purpose of this policy, Claire Gibbons is the named Data Protection/Officer Controller for Unlocking Dyslexia, registered with the Information Commissioner’s Officer (ICO) under registration number ZB589693. 


What personal information does Unlocking Dyslexia collect and why?  

The information Unlocking Dyslexia collects about you is needed to deliver the services you have requested: assessment, specialist tuition, or to keep you informed about things you might reasonably expect, given our relationship.  


Personal information may include: 

  • Full names of parent/guardian, child/learner and date of birth 
  • Contact details – for example home address, email address and telephone number 
  • Sensitive personal data – for example, details of why an assessment has been requested, details of a disability or specific learning difficulty, details of support a child/young person may have had in the past, assessment data, and notes written during and after consultation, assessment or tuition sessions 
  • Family Details – for example details of other family members with whom a parent has given consent to share information 
  • Additional information from third parties, such as schools or professionals involved with the child/young person being assessed or taught. Education background and progress will be collected with the informed consent of a parent. 
  • Dates of meetings held with a parent/child/young person. 


How does Unlocking Dyslexia use your personal information? 

Unlocking Dyslexia uses your personal information to: 

  • Deliver the service we have agreed to provide you with. 
  • Provide the child/young person with support, assistance and services in relation to dyslexia and related neurodiverse conditions as appropriate. 
  • To plan for and provide a diagnostic assessment or specialist support for a child/young person.  
  • To comply with statutory requirements for bookkeeping, auditing and accounting. 
  • To make appointments, provide invoices or provide you with agreed information relating to the service you have engaged me for. 


How do I collect your data? 

When initial contact is made through Unlocking Dyslexia’s Website or email the only information collected is the personal information you provide (such as your name, phone number, email address), which is necessary to provide our services. 


When you engage in Unlocking Dyslexia services as a tutor, assessor or consultant we collect information through email and online questionnaires delivered through a secured Google Drive. Details of communication via email will be retained in our email system in order to reply to you and to keep you informed about the services you are interested in. 


How does Unlocking Dyslexia store your data and how long for? 

  • Unlocking Dyslexia will hold personal data for as long as it is needed to provide the services or for the period required to retain this information by applicable UK tax law (currently 6 years). 
  • The information we collect about you is stored electronically and/or on paper.  Electronic data is kept secure in a Google Drive or One Drive account.  In addition, files containing sensitive information, such as diagnostic assessment reports are password protected.  Backups of documents are kept on a separate hard drive stored in a locked filing cabinet at a different address to the business premises.  Unlocking Dyslexia uses email to transfer data, using password protection if it contains sensitive or highly confidential information.  Any paper documents are stored in a locked filing cabinet. 
  • Assessment test papers and accompanying information with responses will be stored in a secure locked filing cabinet within the Unlocking Dyslexia premises to allow for assessment and report writing. Following the assessment and the compilation of the final assessment report all client questionnaires, all raw data test sheets and all other personal data will be permanently deleted/destroyed after 6 months. 
  • Assessment reports will be stored electronically and will be password encrypted for 6 years or until the assessed individual reaches 24 years of age, whichever is the longer. 
  • Unlocking Dyslexia will keep a list of people interested in assessment or requiring tuition for a period of one year. 
  • Unlocking Dyslexia will keep the records of those who have received tuition, lesson notes and copies of work completed in tuition sessions for 6 months after tuition has ceased. 


Who do Unlocking Dyslexia share your personal information with? 

Unlocking Dyslexia does not routinely share your personal data with anyone unless there is a good reason to do so. However, we may need to share your information with the following: 

  • Your child’s school – we will share your information with your child’s school if you have given me permission to do so. All assessments will be password protected, and the password shared separately with educational institutions.  
  • Other Third Parties - we will share your information with 3rd Parties, such as other professionals, if you have given me permission to do so. 
  • It is unlikely, but it may be necessary to share test papers with PATOSS as part of the Assessment Practicing Certificate Renewal Process. In this case, the information will be fully anonymised. 
  • Accountants-while unlikely, they may occasionally need access to limited information. 

All people working with children have a duty of care. This includes a legal requirement to inform relevant authorities if they believe that a child is unsafe or being abused. In such an instance personal information will be shared as appropriate. 


Your rights 

You have several important rights regarding your personal information, including: 

  • The right to access the data Unlocking Dyslexia holds about you. 
  • The right to have your data corrected. 
  • The right to have your data erased (subject to legal requirements). 
  • The right to restrict or object to how your data is used.

How can you access your personal information 

You are entitled to view, amend, or delete the personal information held about you. Should you require a copy of your personal data; or for your personal data to be permanently deleted; or for changes/corrections made to it before this time, please notify Claire Gibbons at Claire@Unlocking-Dyslexia.com.  

You have the right to withdraw your consent for me to hold or use your personal information.  Please note that I am required by law to retain certain data for legal and accounting purposes, which may limit my ability to fully erase your data.
