Definitions
In these Terms and Conditions all references to “we”, “us”, “our” and “the assessor” refer to Claire Gibbons trading as Unlocking Dyslexia, and all references to “you”, “your”, “the client” and “the parent and guardian” refer to the client booking and paying for a service to be provided.
References to the “Child, Young Person or student” is the learner accessing tutoring or assessment from Unlocking Dyslexia.
References to “Tuition” is the provision of lessons to the child or young person.
References to “Term time” refers to the term dates as published by the local authority in which the client is schooled, or if not a local authority school, the dates published on the school or academy trust website.
References to “School holidays” is any period of non-term time, inclusive of all school dates within the UK.
Registration and contact information.
Unlocking Dyslexia requires up-to-date contact details for children and young people engaging in tutoring and assessment services. These details include a postal address, a contact number and an e-mail address. These details will only be used to contact you with regard to tuition or assessment and will never be passed onto to someone else unless you request to do so.
Contract
Parents and guardians will be required to sign a contract upon viewing Unlocking Dyslexia’s Safeguarding and Privacy policies, as well as agreeing to the Terms and Conditions set out below.

Dyslexia Assessments
After an initial email, phone call or Zoom consultation, a diagnostic assessment can be booked. Date and time will be confirmed by email.
Assessment bookings are usually made several weeks in advance of the date on which the assessment is due to be carried out, to allow for parent and school questionnaires to be completed and returned prior to the assessment.
A non-refundable £100 deposit is required to secure the booking and will be deducted from the overall amount payable. The remaining payment is due in full at least 24 hours before the assessment date. We will be unable to release the report until full payment has been made.
The assessment report will explain the student’s learning strengths and difficulties and provide personalised recommendations for support at home and in school.
It will also confirm whether a dyslexia diagnosis is appropriate. A diagnosis is not always made. Once payment has been received, the report will be available within three weeks of the date of assessment. In some circumstances further information must be gathered to support a diagnosis which delays the release of the report. If this is the case, Parents/Guardians will be contacted to discuss this further.
A follow-up meeting can be arranged to discuss the findings and recommendations made in the report.
A diagnostic assessment may be cancelled prior to the appointment but the deposit is non-refundable.
In the case that Unlocking Dyslexia cancels the assessment for any reason such as illness, the deposit will be refunded in full, and the assessment will be re-scheduled.
If the student is unwell, please provide at least 24 hours' notice and the assessment date will be re-arranged at the earliest possible convenience to both parties.
If parents are unable to stay for the duration of the screener test, the child/young person will be asked to verbally confirm that they are comfortable with being left.
Parents will be asked to tell the assessor/tutor where they are planning to go during the assessment and will be asked not to travel more than 30 minutes away from the location.
Screening
After an initial email, phone call or Zoom consultation, a screening test can be booked. Date and time will be confirmed by email.
Bookings are usually made several weeks in advance of the date on which the screening test is due to be carried out, to allow for some information gathering prior to the screening test.
Payment is due in full at least 24 hours before the assessment date. We will be unable to release the screening summary report until full payment has been made.
A follow-up meeting can be arranged to discuss the findings from the screening test.
If the student is unwell, please provide at least 24 hours' notice and the screening test date will be re-arranged at the earliest possible convenience to both parties.
If cancellation of a screening test is required due to unavailability of the assessor for whatever reason, we will endeavour to provide as much notice as possible. In this event the screening test will be rescheduled for a mutually convenient alternative date.
If parents are unable to stay for the duration of the screener test, the child/young person will be asked to verbally confirm that they are comfortable with being left

Specialist 1:1 Tuition
Lessons are offered weekly during term time, following the BANES school calendar.
Lessons will take place at the premises of Unlocking Dyslexia or in a school setting as agreed by parents/guardians.
Parents are welcome to observe lessons. However, it is requested that parents do not interact with their child unless it is instigated by the tutor, as learning can be disrupted.
Following an initial informal assessment, an individualised multisensory programme will be created for the child/young person. An overview of the short- and long-term targets will be shared with the parents/guardians and reviewed on a half termly basis.
Children and young people will be allocated a weekly time slot when the first booking is made. Unfortunately, due to high demand it will not be possible to alter either day or time once this has been agreed.
Trial lessons
A 3-week settling in period is recommended where the child and parent/guardian can ascertain if the tuition is suitable. The contract can be terminated by either party with immediate effect during this period. These lessons will work as a trial, and you will be committed to no further lessons if you are not entirely happy. You will be contacted after lesson 3 to see if you wish to continue.
It will be necessary, in the first three sessions, to complete informal teaching assessments so that an individualised, multisensory programme tailored to your child can be drawn up. The next lessons will include a range of rapport-building activities alongside structured teaching, incorporating games to enhance learning and motivation.
Fees and Invoices
Lessons and assessments are charged as per the rates discussed and agreed at time of booking.
Payment details and instructions will be provided when a booking is made. Payment can be made by bank transfer [BACS].
The current fees for services offered by Unlocking Dyslexia are as published on the website. We reserve the right to amend fees with six weeks' notice.
Weekly payments for tuition are to be made on the day of tuition. A reminder message will automatically be sent and tuition sessions may be withheld until payment is made.
If you have requested to pay by invoice, these are payable in advance on a half termly basis following the BANES school calendar. Invoices will be sent via email at the beginning of each half term.
Tutor Cancellation
If the tutor cancels for reasons due to personal circumstances, then there will be no charge to parents and the lesson will be rearranged where possible. If this is not possible, a refund will be given or in the case of six-weekly invoices, the lesson will be credited to the next invoice.
Parent Cancellation
Unlocking Dyslexia places the wellbeing of children and young people at the forefront of everything we do and understand that there may be occasions when they are feeling unwell or too tired to attend. Neurodiverse learners can sometimes find the cognitive load of a full school day difficult, and it is important to recognise if they are not going to be able to fully partake in the session. If your child/young person is unwell or unable to attend their session, please let us know as soon as possible.
Planned Absence/Extra-curricular activities
If your child/young person requires a planned absence or is due to attend a school trip/extracurricular event, we would kindly request that as much notice as possible is provided (with more than 48 hours’ notice). You will not be charged for any planned absence.
Consistent Parent Cancellation
Unlocking Dyslexia reserves the right to terminate tuition if lessons have been cancelled on a regular basis (three times or more in one term) and to offer the tuition to another child/young person on the waiting list.
Notice Period -Tuition
Please inform Unlocking Dyslexia in advance if you are intending to end tuition. Please give a minimum of four weeks' notice.
Where the behaviour of a child, parent or guardian becomes such that the safety of any other party becomes threatened, or behaviour is unacceptable, Unlocking Dyslexia reserves the right to terminate lessons immediately.
Student Progress
At the end of each half-term, email feedback will be sent to parents in the form of a review of termly targets. Strategies will also be shared to enable parents to support their child at home. Parents may choose to share this information with their child’s educational setting with the permission of Unlocking Dyslexia.
A brief overview of a child/young person's progress following each session will be given at the end of each tuition session.
Additional progress meetings via Zoom or by phone may be requested by parents outside of tuition sessions and arranged at a suitable time.
Intellectual Property
Resources, reports and materials and templates that are created by Unlocking Dyslexia are the intellectual property of Claire Gibbons trading as Unlocking Dyslexia unless otherwise agreed.
Privacy policy
Information provided by you is subject to our Privacy Policy and shall only be used in accordance with it. For more information, please refer to our Privacy Policy.
Damage
You accept full liability for any damage caused by the student to any premises where an assessment, screening test or specialist tuition is being provided.
Code of Ethics
Claire Gibbons is a professional member of the British Dyslexia Association (BDA) and PATOSS (Professional Association of Teachers of Students with Specific Learning Difficulties). Please refer to the BDA and PATOSS Code of Ethics:

Limitation of Liability
Whilst we will endeavour to ensure that the student makes satisfactory academic progress, there are obviously many influencing factors beyond our control, and, accordingly, academic progress cannot be guaranteed. We cannot be held accountable for the academic progress or otherwise of the student.
To the maximum extent permitted by law, we accept no liability for any direct or indirect loss or damage, foreseeable or otherwise, including any indirect, consequential, special or exemplary damages arising from the use of specialist tuition services provided by us.
We accept no liability for the loss of, or damage to children or young person's personal property.
Complaints
If you have any concerns about any practice or incident relating to Unlocking Dyslexia, please contact Claire@Unlocking-Dyslexia.com in the first instance for an informal discussion. If this does not solve your concern, you may refer to the PATOSS complaints procedure.
Insurance
Claire Gibbons (owner of Unlocking Dyslexia) holds up to date Public Liability Insurance and Indemnity Insurance through PATOSS (Professional Association of Teachers of Students with Specific Learning difficulties). This is provided by Arthur Gallagher– HISCOX Professional Insurance Protection.
Right To Amend
We reserve the right at all times to vary, change, alter, amend, add to or remove any of these Terms and Conditions.
Please ensure that you review these Terms and Conditions each time you book a service from us as, by confirming a booking, you will be deemed to have accepted the Terms and Conditions prevailing on the date of booking.
